Executive search depends on discretion and trust. This notice explains how we handle information about candidates, prospective candidates and people who share a CV with EB Talent Specialists.

EB Talent Specialists is the data controller for candidate information used in our executive and senior search work. Privacy questions and rights requests can be sent to emma@ebtalentspecialists.com.
Information we may hold
- Your name, contact details, location and professional online profiles.
- CV information, career history, qualifications, achievements, skills and remuneration expectations.
- Search notes, interview feedback, preferences, availability and communications with our team.
- References or other checks where relevant, proportionate and lawfully permitted.
- Limited special-category information where you provide it and it is genuinely relevant, such as information needed for reasonable adjustments.
Please do not send passport, banking, National Insurance or other unnecessary identification details in your CV.
Where information comes from
Information may come directly from you, from a person who refers or recommends you, from clients or professional contacts, and from professional or publicly available sources such as company websites, industry publications and LinkedIn. Where we identify you through research, we use only information relevant to potential professional opportunities and our search services.
How we use candidate information
- to assess potential alignment with current or future searches;
- to contact you about relevant professional opportunities;
- to understand your experience, motivations, preferences and availability;
- to introduce agreed candidates to relevant clients;
- to manage interviews, feedback, offers and appointments;
- to maintain accurate search and relationship records; and
- to meet legal obligations and protect legal rights.
Our principal lawful bases are legitimate interests in providing executive search services and identifying appropriate leadership talent, taking steps at your request before a potential contract and compliance with legal obligations. Where special-category information is required, we identify an additional lawful condition or obtain explicit consent where appropriate.
Human review and confidentiality
We do not use automated decision-making or AI scoring to decide whether a candidate progresses. Every CV is assessed by our team with professional context and judgement.
We normally discuss a specific opportunity with you and obtain your agreement before presenting identifiable information or your CV to a client. We ask clients and service providers to handle candidate information confidentially and for the relevant recruitment purpose.
Who may receive information
Candidate information may be shared with a relevant client where you have agreed to be considered, and with trusted providers supporting our recruitment database, email, document storage, IT and administration. Information may also be disclosed where legally required or needed to protect legal rights. We do not sell candidate information.
International work
Some searches, clients and service providers are outside the UK. Where information is transferred internationally, we use safeguards required by data protection law, including adequacy arrangements or approved contractual protections where applicable.
Retention
We generally keep an inactive candidate record for up to 24 months after the last meaningful contact, unless you ask us to delete it or we have a justified reason to keep it for longer, such as an active search, an ongoing professional relationship or a legal requirement. We review records and delete or anonymise information that is no longer needed.
Your choices and rights
You may ask us to update your preferences, stop contacting you about opportunities, correct inaccurate information or exercise applicable rights of access, erasure, restriction, objection and portability.
